How does Heyward CPA know what documents are outstanding to complete my filing?

We use our Pipeline process and secure client portal to track your tax documents in real-time. Our system ensures no item is overlooked by following these steps:


1. Customized Document Checklist

  • After you sign your engagement letter in Ignition, we create a personalized checklist in your client portal based on:
    • Your prior-year return
    • Known income sources (W-2, 1099s, K-1s)
    • Deductions, credits, and special circumstances (e.g., childcare, business income, investments)

2. Pipeline Document Tracking

  • Each required document is listed as a task in Pipeline.
  • As you upload documents, tasks automatically mark as “Received.”
  • Missing items remain flagged until uploaded and verified by our team.

3. Automated Reminders

  • If documents remain outstanding, the system sends email or portal reminders with a secure upload link.
  • This avoids back-and-forth emails and keeps all requests in one place.

4. Staff Review & Verification

  • Our preparers review uploaded files for accuracy.
  • If anything is missing or incomplete (e.g., pages of a brokerage statement), you’ll be notified through the portal with specifics.

5. Real-Time Status Updates

  • You can log into your portal at any time to see:
    • Documents received vs. outstanding
    • Status of your return in the pipeline (Preparation, Review, Ready to E-file)
    • Any additional requests before filing
